A client portal your clients actually use.

Most client portals fail because they ask too much. Download an app. Remember a password. Navigate a menu. We stripped all of that away. Your client taps one link in an email and sees exactly what's outstanding — nothing else.

No password required No app to install Mobile-first design Your brand, not ours
Magic-link authentication

No password. No friction. No abandoned logins.

Every chase email contains a secure, time-limited magic link. The client taps it on their phone, their laptop, wherever — and they're in. No "forgot password" loop. No "I can't find the login page" call at 4pm. Just one-tap access to exactly what they need to do.

  • Secure — tokens are single-use, expire after 7 days, rotate automatically
  • Portable — works on any device, any browser, no install required
  • Invisible — clients don't think about auth at all, they just click
  • Audit-ready — every portal login logged with IP, device, timestamp

Per-item response

Upload. Decline. Query back. Move on.

Each item has three possible actions for the client: upload a file, mark it "no invoice" (with a reason), or ask the accountant a question. Whichever they pick, the accountant is notified, the status changes, and the client sees their progress bar move forward.

  • Upload — PDFs, photos of receipts, scans, CSVs, screenshots
  • No invoice — with a reason, so nobody waits on what doesn't exist
  • Ask a question — threaded back to the account manager
  • Each item independent — close 3, leave 2, come back later for the rest

From the email to resolved, in under a minute.

This is the path a typical client walks every time a chase lands in their inbox. It happens without anyone on your side lifting a finger.

1
Chase email lands

Personalised chase email arrives in client's inbox from your firm's domain. Lists outstanding items.

2
Client taps magic link

One tap. Browser opens. No password dialog. Portal loads with their outstanding items.

3
Client uploads files

Per-item uploads. Photo a receipt. Attach a PDF. Each file stored against the right item, forever.

4
You're notified

In-app notification. Item auto-marks "client responded". Chase pauses automatically for this client.

5
You review

File checks out? Mark resolved. Needs clarification? Query back — threaded on the item itself.

Works on laptops too

Big-screen clients get the full view.

Most client logins happen on a phone — but not all. When a client opens the portal on a laptop, it expands to show every service, every period, every item, every file, in a layout designed for keyboard and mouse.

  • Bulk upload — drag 20 invoices at once, client matches them to items
  • Review conversation threads per item on a wider layout
  • Print or download a full "missing info" status report as PDF
  • Filterable lists for clients with hundreds of items

More reasons clients love it.

i.

Your branding, not ours

Upload your firm's logo. Pick your primary colour. Set your portal domain. Clients never see the words "Missing Information" unless they look hard.

ii.

Multi-language ready

Welsh, Polish, Urdu, French pre-translated. For firms with clients whose first language isn't English, this is transformative.

iii.

Shared access for partners/spouses

Joint SA clients. Limited company directors. Portal links can be shared across multiple contacts — useful for couples and co-directors.

iv.

Print-friendly view

For clients who like physical paperwork, a print-ready PDF of their outstanding list is one click away. Prepare for an in-person meeting.

v.

Accessibility compliant

WCAG 2.1 AA. Keyboard navigable. Screen-reader-tested. Your most accessibility-sensitive clients are as well served as anyone else.

vi.

GDPR data download

Clients can self-serve a full export of everything they've uploaded to your portal, any time. One less request for your team to handle.

Frequently asked

The questions everyone asks.

Quick answers to the most common questions about Missing Information. For more, see our full FAQ.

What does Missing Information actually do?

It tracks every piece of missing information your clients owe you across every UK accountancy service — Accounts, VAT, PAYE, Self Assessment and MTD ITSA. It gives you a daily chase queue with pre-built emails, lets clients upload documents through a secure portal, and shows your team what's ready to work on. It replaces spreadsheets, scattered email threads and Post-it notes with one auditable workflow. Fully-automated chase emails on a scheduled cadence are on the roadmap for later in 2026.

Will it integrate with my existing accounting software?

Yes. Missing Information sits alongside Xero, QuickBooks, FreeAgent and Sage. We don't replace your accounting software — we handle the missing-info chasing layer above it. Direct sync with Xero is available now; QuickBooks and FreeAgent integrations are on our roadmap. We also support Zapier webhooks for custom flows.

How long does setup take?

About four hours from signup to your first live chase email. Bulk-import your client list (we accept pipe-delimited, CSV, or Xero export), assign staff, set service templates, and the system is running. Truetax onboarded 88 clients in an afternoon. The Firm and Scale plans include a guided onboarding call.

Is my client data secure?

Yes — every piece of client data is encrypted at rest (AES-256) and in transit (TLS 1.3). All data is hosted in UK data centres. We're GDPR-compliant, sign DPAs as standard, virus-scan every uploaded file, and align our security controls to ISO 27001. Full details on our security page.

What does it cost?

Plans start at £29/month for sole practitioners (up to 25 clients) and go up to £349/month for unlimited clients. Pricing is by client count only — every feature is included on every plan. 14-day free trial, no credit card required. See full pricing.

Can I cancel any time?

Yes. Cancel from your account dashboard at any time. Monthly plans stop at the end of the billing month. Annual plans run to the end of the paid year. We provide full data export — your client list, status histories and audit logs — in CSV or JSON. No lock-in.

What happens if my clients don't engage with the portal?

The portal uses passwordless magic-link login — no password to remember, no app to install. Clients click a link in an email and they're in. Across 88 clients at Truetax, portal adoption hit 92% within two weeks. For the remaining 8%, you can still operate by email or phone — Missing Information tracks both.

Do you offer a demo before I commit?

Yes. Book a 30-minute demo with someone from our team and we'll walk you through the system using a sample firm. We can also give you a sandbox workspace with anonymised demo data to explore for a few days before starting your trial.
